How do I book Hot Bevs for my event?

Booking truck service with Hot Bevs is simple! Visit our website at hotbevs.coffee and navigate to the “Book Us” section of our website. Select the type of event you are planning such as "Outdoor Events and Catering" or "Coffee Pop Up" or “Specialty Events”. There you'll find a detailed form you can use to communicate all your known event details to us. The forms allow you to request specific dates, service durations, describe your event type, provide a guest count estimate, and share any special requirements or requests. After submission, a booking representative will contact you with availability and more details. We work hard to make the booking process easy so you can focus on other aspects of your event plan.
What is your minimum booking option? Is there a maximum event size?
Hot Bevs has many years of experience serving a wide range of events starting from a minimum group size of 50 all the way up to multi-day events with 20,000+ attendees.
Hot Bevs has a minimum 60-minute service duration for hosted bookings. This one-hour minimum provides for up to 50 drinks, making it a great option for small to medium-sized gatherings. Our minimum booking duration provides guests with plenty of time to order a handcrafted beverage without feeling rushed. Our processes are streamlined, efficient, and professional, and our service staff is welcoming, engaging, and pleasant. We have our standard options, but because we are a catering truck, we realize that certain events have different needs, so we can work with you to customize your event if necessary, including custom menus, extended service times, and variable service options.
What is a Minimum Guarantee and why do I need it?
A minimum guarantee is a pre-determined amount of money that a food truck would need to cover its expenses in order to come out and serve at your event. Minimum guarantees are very standard when booking food trucks.
Certain events we book will require a minimum guarantee from the organizer, and knowing if your event would be subject to one is determined by certain risk factors. Hosted events (catering) are not subject to any minimum guarantee since these events are pre-paid by the host. For attendee-pay events, whether your event would be subject to a minimum guarantee requirement is dependent on event size, time of day, expected attendance, how many other food vendors will be there, and whether alcohol is being served at the event. It doesn’t cost you, as the organizer, any money unless your event sales fall below that guaranteed amount, and even then, you would only be responsible for the difference.
Securing your event with a minimum guarantee confirms your event on our booking calendar. Since attendee-pay events are booked at our own expense risk, any events that are unsecured on the calendar are open to the possibility of being bumped if a secured event requests the same date and time.
What if my event is a fundraiser? Can I require a donation from your coffee truck from the event?
Certain fundraising events may be eligible for a 10% donation back to your non-profit organization from our net sales at an event. Certain restrictions apply.
We are a local small business and we try to support our community as much as we can by incorporating non-profit, community and school fundraising events into our booking calendar as much as our availability allows. For fundraising events, our maximum donation would be 10% back from our net sales at the event. Due to the unpredictable nature of these types of events, and in order to manage risk, there is a minimum sales threshold determined beforehand (based on service duration) that would need to be met before we will be able to provide the donation payout. Certain restrictions apply, as these types of booking agreements are based on many factors. Can Hot Bevs Coffee provide proof of insurance?
Hot Bevs Coffee and Tea Co is fully permitted through the Department of Environmental Health, and we hold valid business licenses across San Diego County. We are fully insured with commercial general liability insurance as well as an excess umbrella liability policy and commercial auto insurance. Our policy limits typically meet or exceed any insurance level requirement at any location.
Are there any special permits required when booking your trucks?
If your event is being held on private property, and you are the owner, then there would be no special permits required. If your event is being held at a property where you are tenant, then typically you would need to obtain permission from the property management company and/or landlord of the property. Hot Bevs can provide all documentation and certificates of insurance requested by a property management company.
Food trucks are generally permitted to park and “vend” at any public location, such public parking spaces and at public sidewalk curbs, but San Diego has zoning in certain areas of the County where food trucks are not allowed to park and serve, such as the area Downtown that is surrounding the San Diego Convention Center, or at any state-managed beach or park. If you are planning an event in these areas, you would likely need to obtain a special event permit through the City of San Diego before we would be able to participate in your event. You can usually confirm these requirements on City or Public Works websites.
